This season we are getting lots of weddings that are requesting backyard weddings and private home rentals.
These are lovely places to have a wedding but don't think that just because you are saving money on a site fee doesn't mean your budget for getting the home ready for a party of 150 won't be spent somewhere else.
Some of the costs to consider when thinking about a backyard wedding or renting a private home:
Parking -are all 100 cars going to be able to park or should you look into permits, paid parking, shuttles et.?
Porta-Potties- the last thing you want is a rental home with a bad septic or well or 150 guests walking through your friend's home to use the bathroom
Rentals-Where are all your guests going to sit and eat at? How about what are they going to eat on and drink with?
Neighbors-Are the neighbors going to be good with your band or DJ playing "we are family" at 10pm at night? You may need to invite them or put them up in a hotel for the weekend.
Weather- Make sure you have a back up plan for rain, fog, heat and wind. Tents aren't exactly easy to get the day before a wedding is supposed to take place.
Power and Lighting- making sure you have the resources for your music, the outdoor lights, your photobooth, etc. If need be can you rent a generator?
As a Concierge for many of our local private homes here in the Santa Cruz area, I have to tell you if your planning a wedding at a private rental home, you need to keep the owner or the property manager in the loop.
I actually had a woman hire me to help her find the perfect beach house for her Son's wedding. She didn't want to tell anyone it was a wedding though (she was one of those people who believes that things get more expensive when you say "wedding"). Long story short; as a business owner I will not lie to other business owners and the woman and I parted ways. Do not and I repeat, do not try to pull off a wedding reception at a private rental home thinking that no one will notice. They will and most likely you will lose all of your deposit and possibly be asked to leave the property on the spot. That is not what you want to happen on your wedding day.
Having a great day-of coordinator who knows how to work with private homes is so important. Just some of the things a day-of coordinator or an event concierge will do to help you have a perfect backyard party or run your private rental home reception:
Check in your vendors (and your gonna need vendors)
Look into parking options and permits
Work on your layout to help make the flow of your reception go smoothly
Guide your guests
Be your liaison between the property owner/manager and you
Negotiate your rental contract
Make sure your guest comfort is constant
Be on-site to make sure the porta-potties stay clean
Run your reception
Assure the owner/property manager that there is someone representing both parties so that the property is being treated with the respect
Help plan weekend group trips, tours, etc...
Using a knowledgeable local planner or event concierge is a great way to make your backyard wedding or private rental home reception go off without a hitch and help you cover all of your bases!
